Introduction
What SealsLog does and how it's structured

SealsLog is a digital security seal tracking platform that replaces paper-based seal logs for freight forwarding operations. Every seal is tracked from the moment it enters stock through to issue, use and return β€” with a permanent, tamper-evident audit trail meeting CAA, TSA, DfT, FAA and EASA requirements.

πŸ“‹ Daily Log

View, create and manage seal records for any date. Refreshes automatically across all devices.

⚠️ Outstanding

All unreturned seals in one view β€” overdue flagged red, due today flagged amber.

πŸ“¦ Seal Stock

Register and transfer boxes, view seal-by-seal status and write off lost seals.

πŸ” Search

Search full history by seal number, driver, record ID or reason across all dates.

πŸ“Š Analytics

Usage trends, return rates, per-user activity and 12-month forecasting.

βš™οΈ Admin

Manage users, drivers, reasons, stock, broken seals, audit log and blank forms.

πŸ”‘
Logging In
First sign-in, passwords and biometrics
1

Go to app.sealslog.com

Use Chrome, Safari, Edge or Firefox. On a phone, add it to your home screen (iPhone: Share β†’ Add to Home Screen) so it opens full-screen like an app.

2

Set your password from the welcome email

Your welcome email has a Set my password button (valid 7 days). Choose a password of at least 8 characters, then sign in with your username. Multi-site users then pick the site they are working at.

3

Given a temporary password instead?

Sign in with it and you'll be asked to choose your own password straight away β€” at least 8 characters.

4

Optional: set up Face ID / fingerprint

Go to Profile β†’ Set up Face ID / Fingerprint. Next time, tap the biometric button on the login screen instead of typing your password.

Forgot your password? Tap Forgot password? on the sign-in screen and enter your username or email. You'll get a link (valid 60 minutes) to set a new one. No email on your account? Ask your Super User to reset it.
Staying signed in: Each device stays signed in for up to 30 days while in use. Sign out only signs out that device. Changing your password signs you out on your other devices.
πŸ“€
Booking Out Seals
Issuing seals to a driver
1

Tap + Book Out Seals

On the Daily Log, tap the orange button.

2

Select the driver

Choose from the list. Not there? Admin β†’ Drivers β†’ + Add Driver first.

3

Set the use date and reason

The date the seals will be used (defaults to today) and the reason (e.g. Vehicle Check, Airline Manifest). Double-check the date β€” it decides which day the record sits on.

4

Choose seals

Tap seal numbers to select them. Use the filter box to search. Selected seals show as chips at the top.

5

Driver signs

The driver signs on screen with a finger or stylus. Tap Confirm.

6

Print the CAA record

The print preview opens automatically. Print Page 1 before the vehicle leaves.

Print pages: Page 1 (SIL0001) always prints. Page 2 (DVC0001 β€” Departing Vehicle Check) for vehicle-check reasons. Page 3 (AML0001 β€” Airline Manifest) for ATF only.
Wrong driver picked? While the record is booked out, tap πŸ‘€ Driver on it, choose the right driver and give a reason. After book-in, use ✎ Amend.
If you see an error, nothing was saved. The server checks every booking (seals still in stock, your access, your sign-in). Read the message, fix it and try again. "Your sign-in has expired" β†’ sign out and back in.
⚠️
Outstanding Seals
Monitoring unreturned seals

The Outstanding tab shows all records where seals have not yet been returned. Records are split into two groups:

πŸ”΄ Overdue
Past the return date β€” requires immediate action
🟑 Due Today
Return date is today β€” monitor closely
βœ“ All Clear
No outstanding seals β€” shown when list is empty
Overdue seals are flagged automatically. Push notifications fire 60 seconds after login if overdue seals exist (requires notification permission in Profile).
πŸ“₯
Booking Seals In
Processing returned seals
1

Find the record

On Outstanding or the Daily Log, open the record and tap βœ“ Book In.

2

Set each seal tile

Tap once = returned unused (back to stock). Tap twice = broken (type a comment). Leave unticked = used or missing.

3

Tap Confirm Return β€” once

The record closes and returned seals go straight back into stock. The button ignores double taps, so you won't create duplicates.

Unticked
Used / missing
βœ“ Returned
Tap once β€” back to stock
! Broken
Tap twice β€” comment required
Got one wrong? After booking in, use ✎ Amend on the record to correct it β€” see Amending Records.
πŸ”΄
Broken Seals
Reporting and reviewing broken seal incidents

When a seal is flagged as broken during book-in, it is permanently removed from stock and a mandatory comment is recorded. The broken seal report is available in Admin.

1

During book-in

Tap the seal tile twice. It turns red with a ! icon. An inline comment box appears β€” type the reason (e.g. "Found cut on vehicle door"). Tap Confirm Broken.

2

View the broken seals report

Go to Admin β†’ ⚠ Broken Seals. A full report shows all broken seals, their record references, drivers, dates and comments. Printable for CAA audit.

Important: A broken seal comment is mandatory. The system will not allow the book-in to complete without it. Broken seals cannot be returned to stock under any circumstances.
✏️
Amending Records
Correcting booked-in records with a full audit trail

Once a record has been booked in, an ✎ Amend button appears on it. Every amendment is permanently logged β€” the original values are kept alongside the change.

1

Open the record and tap ✎ Amend

It sits in the actions row with Print, πŸ“… Date and Audit.

2

Correct the seals

Tiles reappear: ticked = returned to stock, unticked = used/missing. Stock updates to match when you save.

3

Change the driver if needed

Pick the correct driver and give a reason.

4

Add the amendment note and save

A note explaining the change is required.

Not booked in yet? Amend is hidden on open records β€” just book them in with the right statuses.
πŸ“…
Changing the Use Date
Fixing a record entered on the wrong day
1

Tap πŸ“… Date on the record

Available on every record card.

2

Enter the correct date

Type it as DD/MM/YYYY. Any date from 30 days ago up to tomorrow.

3

Give a reason

e.g. "Entered with wrong date". The record moves to the correct day on the Daily Log.

Record IDs don't change. SL-SETSP-20261008-004 keeps its original date in the ID β€” only the use date moves. The change is shown in the record's audit history.
πŸ“¦
Seal Stock
Registering, transferring and checking seal boxes
1

Register a new box

Seal Stock β†’ + Register New Box. Enter the first and last seal numbers and the quantity. A Box ID is created (e.g. SWTSP-20261012-0001).

2

Print and attach the label

A Zebra label (100Γ—75mm) with QR code appears. Stick it on the physical box.

3

Check individual seals

Tap any box to open it and see every seal's status by colour.

4

Write off a lost or damaged seal

Tap a green seal in an open box, type LOST or DAMAGED and give a reason. It is taken out of stock and shown grey with a dashed border.

5

Transfer a box to another site

Tap ⇄ Transfer Box, pick the box and destination and enter a reason. All remaining seals move with it.

Built-in checks: Registering a box checks the range matches the quantity and refuses any seal number already in stock β€” so a box can't be added twice.
Shared pools: SETSP and ATF share the London pool β€” stock is combined for both sites.
Write-off is for seals not on a record. If a seal was issued to a driver, handle it through book-in or Amend.

Updates & Troubleshooting
Keeping the app current and fixing common issues

πŸ”„ Automatic updates

SealsLog updates itself β€” it checks every few minutes and when you reopen it. If you're mid-form, a yellow "tap to update" bar appears; tap it when you're done.

πŸ”’ "Please sign in again"

Your sign-in on this device has ended (after 30 days, or a password change, reset or disabled account). Tap Sign in again and use your password. Lists that look empty mean the same thing β€” close and reopen the app.

β›” "Sign-in has expired"

Sign out, sign back in with your password, then repeat what you were doing. Nothing was saved from the failed attempt.

πŸ“§ Daily summary email

Super Users and Admins get a morning email listing overdue records and low stock for their sites β€” only on days with something to report.
