Getting Started
What is SealsLog?

SealsLog is a digital security seal tracking system for UK freight forwarding operations subject to CAA Aviation Security requirements. It replaces paper-based seal logs with a fully auditable digital record of every seal issued, used, and returned.

How do I log in?

Visit app.sealslog.com in any modern browser. Enter your username and password. If you have access to multiple sites, a site selector will appear — choose the branch you are working at today.

Tip: Add to your home screen for a full-screen app experience. Android: Chrome → ⋮ → Add to Home Screen. iOS: Safari → Share → Add to Home Screen.
I've forgotten my password. What do I do?

On the login screen tap Forgot password? and enter your registered email address. You will receive an email with a temporary password. You must change this on your next login.

If you don't have an email address on your account, contact your Super User or Org Admin to reset your password manually.
What are the different user roles?
  • Standard User — book seals out and in, manage drivers, register stock, view records
  • Super User — everything Standard can do, plus create Standard User accounts
  • Org Admin — manages all users and sites, archive and broken seals report, amend closed records
  • Platform Admin — full access across all organisations
Booking Out Seals
How do I book seals out to a driver?

From the Daily Log tap + Book Out Seals. Select the driver, date of use, and reason. Tap seal numbers from the inventory to select them. Tap Confirm Book Out when done.

Tip: Use the filter box to search by seal number in large inventories.
What print pages are generated?
  • Page 1 — CAA Security Audit Record. Stays in the office. Driver and issuing officer both sign.
  • Page 2 — Departing Vehicle Checks sheet. Travels with the driver (selected reasons only).
  • Page 3 — Airline Manifest. ATF sites only.
The driver I need isn't in the list. What do I do?

Go to Admin → Drivers → + Add Driver. Enter the full name and employee ID. They appear in the booking dropdown immediately.

Booking Seals Back In
How does the book-in process work?

Go to Outstanding and tap Book In on the relevant record. Each seal is shown as a tile:

  • Tap once — green ✓ = returned intact, goes back to stock
  • Tap twice — red ! = broken pending. An inline comment box appears — enter the reason and tap Confirm
  • Leave unticked — used or missing

Complete the checklist and tap Confirm Return.

I ticked the wrong status — can I fix it?

Yes. Expand the closed record on the Daily Log and tap ✏ Amend Seal Record. A mandatory amendment note is required. The change is permanently logged in the audit trail.

Broken Seals
What happens when I mark a seal as broken?

During book-in, tap a seal tile twice to enter broken-pending state. An inline comment box appears below — enter a description and tap Confirm Broken. The seal is permanently flagged as broken and does not return to stock.

Where can I see the broken seals report?

Go to Admin → ⚠ Broken Seals. This generates a printable report of all broken seals in the last 30 days for your site, including seal number, record reference, driver, date, and the mandatory broken comment.

Seal Stock
How do I register a new box of seals?

Go to Seal Stock → + Register New Box. Enter the seal range and quantity. A unique Box ID is auto-generated and a printable ticket is produced — attach it to the physical box.

Large boxes (1,000 seals) take a few seconds to process. A progress bar is shown — do not close the window.
Can I see individual seals in a box?

Yes. Click any row in Seal Stock to expand it. Each seal is colour-coded: green = in stock, yellow = issued, red ⚠ = broken, grey strikethrough = used.

Can seals be transferred between sites?

Yes. From Seal Stock tap ⇄ Transfer Box. Select the box and destination site. The transfer is logged in the audit trail and seals become available at the new site immediately.

Admin & Users
How do I create a new user?

Go to Admin → Users → + Add User. Enter the username, display name, email address, role, and site. A welcome email with login credentials is sent automatically. The user must change their password on first login.

How do I give a user access to multiple sites?

In Admin → Users, click ⚙ Sites on the user. Tick the sites you want them to access. Their home site is always included. When they log in the site picker will show all permitted sites.

CAA Compliance
Can the audit log be edited or deleted?

No. The audit log is append-only and cannot be modified or deleted by any user. When records are amended, both the original and the amendment are preserved with full timestamps and usernames.

What happens if a seal goes missing?

During book-in, leave the missing seal unticked. It is recorded as used/missing. Add a note in the discrepancies field.

Missing seals must be reported to your security manager per your site's Aviation Security Programme. SealsLog creates the digital record — your internal reporting procedures still apply.
Technical
What browsers does SealsLog support?

Chrome, Firefox, Safari, and Edge. For the best experience use Chrome on Android or Safari on iOS. Microsoft Edge with Strict tracking prevention may block the email service — use Balanced mode if sending emails fails.

Is my data secure?
  • HTTPS encryption for all data in transit
  • bcrypt password hashing — passwords never stored in plain text
  • Supabase PostgreSQL database with enterprise-grade security
  • Session-based authentication — sessions expire on logout
  • Role-based access control
